How a multi-practitioner clinic climbed back after a quiet spell

Meet Richelle

Richelle runs the multi-practitioner clinic Capria Care Collective in Coquitlam, Canada. They’re a value-driven team trained in pregnancy and postpartum, using what we know to care for parents and parents-to-be.

Before Data Backed Entrepreneur®

If you have a team that sees clients or patients, you probably feel (or have felt) the pressure to fill their schedules.

Maybe they’re even the ones applying that pressure, coming to you saying you don’t send them enough people.

And maybe that stresses you out. Or makes you feel guilty. Or drives you to sacrifice your own schedule/take-home pay to make sure they’re happy because, as they say, leaders eat last.

Either way…

I don’t know about you, but that would suck the entrepreneur energy out of me fast.

**Cue dreams of selling my pottery at a Farmer’s Market where the only person relying on me is me.**

But, as I learned by working alongside my student Richelle, data can take a lot of that pressure off your shoulders. And ensure that any empty-calendar blame doesn’t land on you simply because you’re the boss.

Here’s how it went down.

Richelle runs a multi-practitioner clinic, and when things slow down, she (understandably) panics a little.

Thankfully, she’s always had a lever she could pull to get things moving again.

She’d just turn on her ad campaigns and reliably, she’d have new leads booking in with her practitioners.

Bam. Just like that!

Those bookings would help fill people’s calendars in the short term. But surprisingly, they didn’t solve the problem for long.

As it turned out, some practitioners would fall into a sort of “black hole,” getting like eighty new patients over a two-month period, but only a handful of them would ever come back.

Over time, Richelle realized that she didn’t just need to get her practitioners’ leads— she had to figure out who was actually turning the new leads she sent them into long-term patients, and who was just burning through referrals.

To do this, she needed data. So, Richelle joined The Data-Backed Entrepreneur®.

After Data-Backed Entrepreneur®

With my support, she set up next-level tracking, custom to her clinic and the data she needed.

And now, she has a live and always up-to-date log of her team’s close rates.

That means she always knows:

✅ Who books first, second, and third appointments

✅ Which practitioners get people to come back

✅ What the clinic’s retention averages are

✅ Which team members are underperforming

With that info, she can either support them with coaching or let them go before they get too deep into it, depending on the reasons and their willingness to learn.

And, she can let herself off the hook for a lot of that “empty schedule” pressure. Because clearly, it’s not just on her.

“Now,” she says, “I have the numbers in front of me instead of just a feeling.”

“It means I’m not wasting money on ads bringing people into that practitioner’s book, and I can start coaching them sooner (or make a different call) instead of just watching patients leave the clinic.”

If you’re going to invest in marketing to make sure your team gets paid, do what Richelle did:

→ Track your lead gen investments.

→ Set your team up to actually close the leads you bring them.

→ And join The Data-Backed Entrepreneur® so I can help you with the how.

“[With my data system], if the answer isn’t already there, I put in a support ticket and Ally either sends me a video or the steps to adapt to my situation. It’s not a one-size-fits-all course pretending my clinic works like everyone else’s. It actually adapts to me.”
